Document Backlog Conversion

The success of a Document Management initiative also depends upon the ability of stakeholders to provide all relevant documents spanning a number of years to users in electronic form. This involves scanning and indexing paper documents pertaining to previous years and archiving these for easy search and retrieval using the document management system.

Our backlog conversion projects follow the following methodology:
  • Plan a document survey
  • Perform a need analysis by studying the following parameters
    • Volume of data to be scanned
    • Number of indexing parameters
    • Types of documents
    • Type of equipment to be used
    • Timeframe for completion of the job
  • Define the processes, quality control measures, resources requirement, budget and timeframe for project completion
  • Determine the process level output
  • Ensure document integrity
The technologies used for scanning and digitizing information are as follows:
  • Input process - Image capture using digital scanners or cameras
  • Image Compression - CCITT GR4 or JBIG (B/W Images), JPEG (Gray or Color Images)
  • Image Storage Format - TIFF/JPEG/BMP Image files
  • Text capture - OCR/OMR/ICR
